# Policy - Communications
## General policy
### Presence - our commitment to you
- If we're in a meeting, we’ll be present at that meeting and not checking other comms.
- If you are expecting a quick answer from us, please check that we're not in a meeting.
### Reflection time
- As our work utilises reflective practice, we tend to defend focus time activities in our calendars and have our Google calendars configured to auto-decline invitations that clash with focus time activities.
- However, if we can accommodate you, we will, so please ask first.
### Coaching Requests - Contracting
- If you’d like to call on us for coaching, mentoring or supervision, please have answers to the following ready, and share them with us at least 24 hours before our meeting:
- _**Subject** - what do we need to think about today?_
- _**Time** - given that we have x minutes, what about that do we need to focus on?_
- _**Outcome** - what would like to be different by the end of our time?_
- _**Know** - how will you know you have got what you need out of this time?_
- _**Role** - how are we going to do this?_
- _**Start** - where shall we start?_
### Confidentiality
- All of our coaches are [ICF-accredited](https://coachingfederation.org/ "https://coachingfederation.org/") and as such their practice is bound by the [ICF code of ethics and core competencies](https://coachingfederation.org/credentials-and-standards/core-competencies "https://coachingfederation.org/credentials-and-standards/core-competencies").
- With regards to confidentiality, this means that whatever is shared by you and/or others in individual or group sessions will be held as strictly confidential as declared in the ICF guidelines.
